Privacy Policy

1. Who We Are

BookingBench is a direct-booking platform for independent short-term rental property managers, operated by Mountain Mattress Co. (“we,” “us,” or “our”). We provide owners with a branded booking website, embeddable widgets, analytics, and integrations with property management systems (PMS) such as Hostaway, Guesty, OwnerRez, and Lodgify.

This policy explains what information we collect, how we use it, and your rights regarding that information. By using BookingBench, you agree to the practices described here.

2. Information We Collect

Account Information

When you sign up as a property owner, we collect your name, email address, company name, phone number, and billing information (processed securely by Stripe — we never store card numbers).

Property and Booking Data

We pull listing details, availability, and pricing from your connected PMS via their APIs. This data is used to power your booking website and analytics dashboard and is not used for any other purpose.

Google Search Console Data

If you choose to connect Google Search Console, we request read-only access to your GSC account using the scope https://www.googleapis.com/auth/webmasters.readonly. This allows us to display SEO performance metrics — including impressions, clicks, average ranking position, and top-performing pages — directly in your analytics dashboard.

This data is:

• Accessed only on behalf of the authenticated property owner who granted permission
• Used solely to display SEO metrics within that owner’s BookingBench dashboard
• Never shared with third parties
• Never used to train machine learning models
• Revocable at any time by disconnecting GSC in your owner portal or via your Google Account settings

Our use of Google Search Console data complies with the Google API Services User Data Policy, including the Limited Use requirements.

Guest Visitor Data

When guests visit your booking website, we collect anonymized usage data (pages viewed, search queries, availability checks, booking events) to power the analytics displayed in your owner dashboard. We use PostHog and Google Analytics 4 for this purpose. Guests can opt out via their browser’s Do Not Track setting or a standard cookie consent mechanism where required by law.

Usage and Log Data

We collect standard server logs (IP addresses, request paths, timestamps, error codes) for security monitoring, debugging, and infrastructure operation. Logs are retained for 90 days.

3. How We Use Your Information

• Provide, operate, and maintain the BookingBench platform
• Display analytics and SEO metrics in your owner dashboard
• Process billing and send payment receipts
• Send transactional emails (lead notifications, password resets, invoices)
• Respond to support requests
• Detect and prevent fraud, abuse, and security incidents
• Comply with legal obligations

We do not sell your personal information to third parties. We do not use your data for targeted advertising.

4. Data Sharing

We share data only in these limited circumstances:

• Service providers: AWS (hosting, storage, email), Stripe (billing), PostHog (analytics), Google Analytics. Each is bound by their own privacy terms and data processing agreements.
• Your connected PMS: API credentials you provide are used only to fetch your property data on your behalf.
• Legal requirements: We may disclose information if required by law, court order, or to protect the rights and safety of BookingBench and its users.

5. Data Retention

Account and property data is retained for the life of your account plus 90 days after cancellation, after which it is permanently deleted. Google Search Console OAuth tokens are deleted immediately upon disconnection. Server logs are retained for 90 days.

6. Security

All data is transmitted over HTTPS. API credentials are stored encrypted in AWS Secrets Manager and are never exposed to the browser. Our infrastructure runs on AWS with access controls, automated backups, and security monitoring.

7. Your Rights

You have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your account and associated data
• Revoke any third-party integration (Google Search Console, PMS connections) at any time
• Receive a copy of your data in a portable format

8. Children’s Privacy

BookingBench is not directed at children under 13. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, please contact us and we will delete it promptly.

9. Changes to This Policy

We may update this policy from time to time. We will notify account holders by email of any material changes. Continued use of BookingBench after changes take effect constitutes acceptance of the updated policy.

10. Governing Law

This Privacy Policy is governed by the laws of the State of Wyoming, without regard to its conflict-of-law provisions. Any disputes shall be resolved in the courts of Sheridan County, Wyoming.
